Administrative & Member Services Director Job Responsibilites 

The National Association of State Directors of Pupil Transportation Services (NASDPTS) was established in  1968. The purpose of the association is to provide leadership and assistance to the Nation’s school  transportation community with the goal of providing safe, secure, and efficient transportation to school  children in certified school bus vehicles. 

NASDPTS membership is comprised of state and national leaders in school bus transportation, local school  transportation administrators, and suppliers of products and services. The membership represents all 50  states, the District of Columbia, school bus manufacturers and suppliers, state and national transportation  associations, and others who support our mission and purpose. 

About the Position 

The Administrative & Member Services Director is responsible for managing the day-to-day business  operations of the National Association of State Directors of Pupil Transportation Services (NASDPTS).  Key responsibilities include financial bookkeeping, conference and meeting coordination, member  services, website management, and social media. 

As NASDPTS does not have a physical office, the Administrative & Member Services Director position  is contracted and fully remote. The Administrative & Member Services Director is expected to: Meet all reasonable project and monthly accounting processing deadlines 

Have access to adequate office space as well as all related office equipment necessary to  perform the duties of the position 

Be available during weekday office hours to attend meetings and conduct the affairs of the  association 

Be available for limited travel throughout the year 

Preferred Skills & Qualifications:  

o Strong proficiency with technology and the ability to manage multiple software  systems 

o Experience in financial bookkeeping 

o Background in meeting and conference planning 

o Graphic design and marketing capabilities 

o Social media experience 

o Self-motivated and able to work independently 

o Strong communication skills (verbal, written, and electronic) 

o Ability to work professionally with internal and external stakeholders 

o Experience in student transportation at a management level (preferred, not required) Software Programs Utilized: Microsoft 365 Office, Wild Apricot, Affinipay-8AM, Adobe  Acrobat, Canva, QuickBooks

Conference and Meeting Planning 

Annual Convention Coordination: Work closely with the Executive Director and President-Elect to plan and execute the NASDPTS Annual Conference. Tasks include: 

Marketing and communications 

Website management 

Event registration management 

Sponsorship coordination 

Attendee list and name badge production 

Conference link database 

Hotel and venue coordination 

Financial management of events 

Signage and materials 

On-site event management 

Board Meetings: Assist in planning and participating in three in-person Board Meetings annually (Spring, Summer, and Fall), as well as any virtual meetings scheduled through out the year. Tasks include coordinating meeting logistics and arranging accommodations such as meeting space, food and beverage, off site meals, and lodging. 

Member Services 

Member Services: Manage member services. Tasks include: 

Respond to member and prospective member inquiries in a timely manner 

Help members manage membership bundles 

Maintain membership database in Wild Apricot 

Develop and maintain membership report tracking renewals and new members throughout the year 

Over see membership renewals 

Create marketing materials for association promotion 

Website Management 

Website Management: Maintain the website. Tasks include: 

Website and all documents expected to be posted on state websites are expected to meet  the Americans with Disabilities (ADA) Web Content Accessibility Guidelines (WCAG) Perform ongoing website maintenance 

Update the website as requested 

Maintain the “Find a State Director” directory by adding or updating state directors as notifications  are received 

Design, create, and distribute email communications as requested 

Social Media Management 

Social Media: Manage the Association’s social media presence. Tasks include: 

Development of social media posting schedule 

Creation of all social media posts 

Ensure posts updated regularly and across all platforms 

Follow comments 

Other duties as assigned.

About the Job

The Director of Transportation provides leadership and oversight for all district transportation operations, including student transportation services, fleet maintenance, driver training, safety programs, special education transportation, budgeting, personnel management, and regulatory compliance.

Job Duties

  • Direct and oversee transportation operations, dispatch, driver training, safety, and fleet maintenance.
  • Ensure compliance with all federal, state, and local transportation laws and regulations.
  • Develop and coordinate school bus routes and schedules.
  • Manage special education transportation services, including behavior, health, and evacuation support plans, while coordinating with Special Education staff and contracted service providers.
  • Oversee preventive maintenance programs and ensure the proper maintenance and repair of district vehicles.

  • Administer school bus safety and evacuation programs.
  • Participate in budget development, financial analysis, and expenditure oversight.

  • Resolve transportation-related concerns with administrators, staff, parents, and community members.
  • Supervise, train, and evaluate transportation personnel.
  • Maintain effective relationships with vendors, contractors, government agencies, and district leadership.

Minimum Qualifications

  • High school diploma or equivalent.
  • Five years of progressively responsible experience administering a California school transportation program with a fleet of 50 or more buses.
  • At least two years of management experience, or five years of related supervisory experience working with school districts.
  • Bachelor's degree in Business Administration or a related field is desirable.

Licenses and Certifications

  • Valid California Class C Driver License.
  • Must remain insurable at the standard insurance rate.
  • School Bus Driver Instructor Certificate issued by the California Department of Education is desirable.
